Record a meeting, receive the report

Your account, once and for all

Rapporteur creates no password. You enter your email address, a six-digit code arrives in your inbox, and you are signed in. The first sign-in of an address opens the account: there is no registration form. You can also sign in with Google.

And you stay signed in. On this device and in this browser, the session renews itself as long as you keep using Rapporteur: nothing to type again before each meeting. You will only need a new code in three cases — you change device, you change browser, or you sign out yourself.

One account for every device. Your balance, your document template and your purchases are shared: what you set up on the computer holds on the phone, and you move from one to the other without buying anything twice.

• A meeting report bought separately covers a three-hour block of meeting, the trial's two hours; a subscription meeting report, a meeting of up to six hours. Beyond that, one more per block started. Meeting reports bought before 11 October 2026 keep their value: six hours each.
• Nothing is deducted if no report can be produced — a session with no speech, or a failure on our side.
• Your balance, your purchases and the meetings counted are on the My account page. The plans are on the Pricing page.

Which device, for what

The five ways of using Rapporteur produce the same meeting report. What differs is how the sound is captured, and that is the only thing that should guide your choice.

In the browser — nothing to install

The shortest way to try, and the only one that works on a machine you do not administer: an organisation's computer, a borrowed laptop, a meeting room.

On a computer

• Open the recording room, give the address the report should go to and the language of the document, then click Start.
• Pick the meeting tab, and tick "Also share tab audio".
• Allow the microphone: it records what you yourself say.
• At the end, click Stop. The upload starts on its own.

Chrome or Edge are required on a computer: Firefox and Safari cannot capture the sound of a tab. And if the meeting is held in the Teams or Zoom application installed on the machine, and not in the browser, no tab carries its sound: use the Windows app.

On a phone

A phone browser cannot capture the sound of a tab — but an online meeting can still be recorded: put the meeting on speaker, and the microphone picks up what the phone plays along with your own voice. Rapporteur says so itself when it opens: "Phone mode: the meeting on speaker".

• A single track, the microphone's: put the phone between you and the speaker.
• No headphones: the phone picks up your correspondents because they come out of the speaker. With a headset, their voices go into your ears and the microphone only hears you. The app checks it: with earphones on, it asks you to take them off before recording, and warns you if you put them on along the way.
• Keep the screen on: in a browser, recording stops when the screen goes dark. That is precisely what the app knows how to handle.
• On an iPhone, if the meeting is held in another app that uses the microphone, the system reserves it for that app: you then need two devices (see the iPhone section).

In the installed app: three ways to record

Windows, Mac, Android, iPhone: the app first asks where the meeting is held. That choice, and only that, decides what it listens to.

• In the room. The meeting is held here: put the device in the middle of the table, the microphone picks up everyone.
• Online. Teams, Zoom, Meet, a phone call. On the computer, the app captures the machine's sound; on the phone, the meeting is held on another device on speaker — or opens inside Rapporteur itself.
• Replay. You already have the audio of a past meeting: play it back with the speaker near the device, and it is written up like a live session.

In all three cases, you then give the address the document should go to and the language of the report — French or English, independently of the language of the app — then you tap Start.

The Windows app

The one that captures the whole computer, and keeps going when the network leaves. Free on the Microsoft Store, for everyone.

• From the Windows page, click Get it from the Microsoft Store, then Download, and open the small installer signed by Microsoft: no warning, and the Store then keeps the app up to date on its own.
• Sign in with your Rapporteur account — the same one as on the site.
• Choose In the room, Online or Replay, then record.

• It captures Teams or Zoom installed on the machine, and not just a tab: in Online mode you have nothing to share, it takes the machine's sound and your microphone.
• Meeting in person: put the computer in the middle of the table, the microphone is enough.
• Offline: after one first opening online, it records with no network. Meetings stay on the machine and leave by themselves when the connection returns.
• Starting a meeting requires a subscription — Basic included — or a pack; the free trial covers it too.

The Mac app

It does what the Windows app does — the three modes, the Mac's sound and the microphone, working offline. Free download on the Mac page: open the Rapporteur.dmg file and drag Rapporteur into the Applications folder. The app is signed and notarized by Apple: macOS opens it without a warning. macOS 11 or later, on Intel and Apple Silicon Macs alike.

Without installing anything, Rapporteur also works on your Mac in the browser: open the recording room with Chrome or Edge — not with Safari, which cannot capture the sound of a tab. For a meeting in person with no computer, the iPhone and Android apps record from the phone.

The Android app

A single button in the middle: tap it, put the phone near the voices, put it away. This is the tool for meetings in a room and for fieldwork.

• Tap Get it on Google Play on the Android page, or scan the QR code shown there from a computer: the Google Play page opens. You can also search for Rapporteur in the Play Store.
• Tap Install: the app installs like any other app from the Play Store, with no questions asked.
• Open the app and sign in. Do this first opening while connected to the network.

An online meeting: two ways

1. Two devices. The meeting is held on another device — a computer, a second phone — with the speaker on. Put the phone carrying Rapporteur next to it, choose Online, give the address and the language, then Start. The microphone picks up the other participants and your own voice.

2. The meeting inside Rapporteur. Only one phone at hand? Open the meeting in the app itself:

• Choose Online.
• Paste the link to the meeting (Meet, Teams, Zoom…) in the field provided, then tap "Open the meeting here".
• The meeting opens inside Rapporteur. Then give the address the report should go to, choose the language, and tap Start.

Why this works: inside one and the same app, the microphone serves the meeting and the recording at the same time. A meeting held in another app keeps the microphone for itself — hence the first method.

What the app can do that the browser cannot

• The screen can go dark: recording continues for the whole session.
• A dropped network stops nothing: meetings are kept on the phone, several in a row if needed, and leave by themselves when the connection returns.
• Android 8.0 or newer.

On an iPhone

The iPhone app is on the App Store: download and QR code on the iPhone page. It records by itself, without going through the browser: the screen can go dark without interrupting the session, and meetings are kept on the device when the network is missing. It offers the same three modes — In the room, Online, Replay.

An online meeting, on an iPhone: two options

1. Two devices. The meeting is held on a computer or a second phone, with the speaker on; the iPhone carrying Rapporteur sits next to it, in Online mode. The microphone picks up the people you are talking to and your own voice.

2. The meeting inside Rapporteur. Only have the iPhone? Choose Online, paste the link of the meeting (Meet, Teams, Zoom…) and tap "Open the meeting here": the meeting opens at the top of the screen, inside Rapporteur — if it offers, choose "Continue on this browser". Then tap Start below, and keep the screen on during the meeting.

Why it works: a meeting held in the Teams or Zoom app keeps the microphone for itself, iOS enforces it; opened inside Rapporteur, it shares it with the recording.

During the meeting

• The level meter moves as long as sound is coming in. That is the thing to look at if you have a doubt.
• If nothing is captured for two minutes, Rapporteur warns you — a sound, a message, and what you need to fix it without leaving the session. The alert comes back as long as the silence lasts: a meeting recorded into the void is the failure that costs the most.
• You can pause and resume: the report will see a single session.
• Half an hour before the limit covered by your meeting reports, the room asks whether you want to continue, if you have any left — from your subscription, free ones included, or bought separately, which the subscription's pace never blocks: nothing is used without your consent. If nothing is left to continue, Rapporteur warns you, on screen and by email, with the purchase link, which opens in a new tab: the recording continues meanwhile. Without one more meeting report, the recording stops at the limit and your minutes are written from everything captured.
• Put the device near the voices, not in front of a fan or against a wall. For a meeting on speaker, the device next to the speaker is enough.
• Headphones: plugged in before you start, never on the phone. Rapporteur picks the microphone and the sound source when you start and does not follow a headset plugged in or unplugged during the session. On a computer, browser or app, a headset plugged in before starting is fine. On the phone, and on the other device next to it, no headset: your correspondents must come out of a speaker to be captured.

After the meeting

You stop, the audio goes to our servers, and the meeting report arrives by email within minutes — the length of the session changes that delay very little. The document goes to the address you gave, and nowhere else.

• If the network was missing when it was time to send, the meeting waits on the device and leaves by itself when the connection returns. There is nothing to redo.
• If your balance is empty when it is time to send, the meeting is kept: you top up, then start the upload again. We write to tell you.
• If nothing was captured, or if the processing fails, you are told by email and nothing is deducted.

Making the document look like yours

This is the setting that improves the quality of the reports the most, and it costs nothing. On the Personalisation page, you can:

• Upload an old set of minutes, or describe your habits in plain words: the assistant turns them into rules, and every document that follows obeys them.
• Give your vocabulary — acronyms, proper names, in-house titles — so they are spelled correctly instead of being guessed.

The setting holds for every platform: made once on the site, it applies to meetings recorded from the phone as well as from the computer.

Workshop mode in the app

For a workshop or a training, tap Workshop on the right of the header — the board, next to the microphone, just before the language. The Workshop list opens: tap what you want to do.

• Workshop minutes — place the phone in the middle of the room and tap Start. The Pause button suspends the recording at each break, Resume starts it again; the screen may turn off. When you stop, the day's minutes arrive by email.
• Final report — upload the minutes of each day and, if you have them, the terms of reference, your logos and the group photo, then describe the report you want. The final report arrives in Word, by email.
• Interactive evaluations — create the pre-test, the post-test or the daily evaluation, then show the QR code: each participant answers on their own phone, with no account, and the results appear live. From the results screen, tap Receive by email: the PowerPoint and the PDF arrive in your inbox.

To go back to meeting minutes, tap the microphone, on the right of the header.

The Workshop mode: workshops and trainings

For a workshop or a training that lasts several days, switch to the Workshop mode from the header switch (Minutes | Workshop). It is open to everyone, on the site and in the Windows and Mac apps. Three tabs:

• Workshop minutes — the same recording room, with a Pause button under the timer: pause at every break, resume when work starts again. Start and Stop are unchanged, and the day's minutes arrive by email; they count as one meeting report, just like a meeting.
• Final report — upload the minutes of the days (required) and, if you have them, the terms of reference, your logos, the group photo and the evaluation results; give the venue, the period and the number of participants; describe the report you want, or keep the standard structure. The assistant writes a final report in Word — summary, context, objectives, day-by-day proceedings, results, recommendations with owners and deadlines, conclusion, then venue, date and drafting team — in the language of your choice. A final report costs $3 bought separately; the free trial includes one, and the subscriptions include some every month.
• Interactive evaluations — pre-test and post-test: import the questionnaire and its answer key, or write the questions, then show the QR code; every participant answers on their phone, their submission is marked automatically, and you read the scores, the distribution and the pre/post comparison. Daily evaluations: one question at a time, with a countdown, answers appear live on the room screen — bars, scales, word cloud. Everything downloads as PowerPoint or arrives by email (PowerPoint and PDF), and the chosen evaluations go into the final report. One evaluation is one session — daily, pre-test or post-test: $3 bought separately; the free trial includes one, and the subscriptions include some every month.

Participants need no account: the QR code opens the form on their phone, in the language of the evaluation.

The live voice interpreter

In the recording room, below the minutes' languages, the Voice interpreter block offers two lists. Choose a language in one, the other or both, then tap the Interpreter button next to the microphone; tap it again to stop it.

• You listen in — the other participants speak, the interpreter speaks to you in your language, a few seconds behind them; their original voice moves to the background. Online, choose the meeting tab and tick “Also share tab audio”.
• Others hear in — you speak, the interpreter speaks to them in their language. In a room, it speaks out loud; online, its voice enters Teams, Zoom or Meet through a free virtual microphone, with yours in the background.
• Duo mode — in the iPhone and Android apps, in the room: two people who do not speak the same language hold a conversation, the phone placed between them, volume all the way up. Choose your language under “You listen in” and the other person's under the second list, “Duo mode: the other person speaks” — any of the 13 languages. One speaks, the interpreter translates for the other out loud, the other replies, the interpreter translates in turn, and so on: it waits until each of you has finished, and while it speaks, you both listen. “Your turn” appears when it is one of you to speak. With earphones, choose an option under “With earphones”, below the lists: each their own (both languages are heard) or one earbud each (left for you, right for the other person: each hears only their own language). It then translates at the same time, without waiting, and only its voice plays in the earphones; with nothing chosen, duo mode stays as it is. Two translations run together: interpreter time is counted twice.

With or without earphones. Choose the interpreter's language before starting the recording: it can then speak through the loudspeaker, and its voice stays out of the minutes. Earphones are still more comfortable: neither the people around you nor the other participants hear the interpreter.

The interpreter works with or without recording: you can have interpreter hours only. It speaks 13 languages: French, English, Portuguese, Spanish, German, Italian, Russian, Chinese, Japanese, Korean, Hindi, Indonesian and Vietnamese; it recognises the speaker's language by itself. Time is counted to the second, only while it runs, and your remaining time shows in the block and in your account. Half an hour before your interpreter time runs out, Rapporteur warns you, on screen and by email: you are never cut off by surprise. It is bought by the hour, $4 with no expiry, and the Basic, Pro, Max and Enterprise plans include some every month; with no hours left, the Interpreter button takes you straight to buying them.

On a phone, an online meeting held on another device is interpreted by placing the two side by side, the other device on speaker: one direction at a time.

On Android: when do you hear the interpreter?

• A video or YouTube on the same phone: choose Playback, tap Interpreter, then accept the Android window that shares the phone's sound. Its warning is the same for every app that shares the screen: Rapporteur only takes the sound, never the picture. The interpreter listens to what the phone plays; its voice comes out of the loudspeaker, and the video is lowered behind it.
• A meeting in the room, or on another device placed next to it — a computer or a second phone, with the speaker on: choose In the room, even if the meeting is held online on the other device. No Android window opens: the interpreter listens through the microphone and speaks through the loudspeaker; the volume goes up by itself while it speaks, then comes back.
• With earphones, wired or Bluetooth — from version 1.1.13, in the room: the interpreter speaks in your ear, and the phone's microphone keeps listening to the room. Plug them in or take them off along the way: the interpreter switches between the earphones and the loudspeaker without stopping. During a recording, the minutes always keep the phone's microphone. Duo mode also works with earphones: the interpreter then translates at the same time (see below).
• Duo mode, in the room: place the phone between the two people, volume all the way up, choose both languages, then tap Interpreter. Each person speaks their own language, in turn; the interpreter translates for the other, out loud, as soon as the person has finished. With earphones, choose “each their own” or “one earbud each” (left for you, right for the other person) under the lists: it then translates at the same time, and only its voice plays in the earphones. During a recording, duo mode speaks out loud only if both languages were chosen before “Start” and the phone keeps its voice out of the minutes; otherwise, Rapporteur asks you to stop one to start the other.
• A meeting opened in Rapporteur (Online, link pasted): the interpreter hears the participants directly inside the meeting, without going through the microphone. Its voice comes out of the loudspeaker, and the meeting is lowered behind it.
• “Others hear in”, in a meeting opened in Rapporteur: your participants hear the interpreter speak for you in their language, its voice clearly in front of yours. No extra microphone opens, and its voice does not come out of the phone: it also works during a recording, without touching the minutes. Both directions can work together.
• A replay on the phone: accept the Android window, as for a video.

Subtitles only

• During a recording: its voice would end up in the minutes — except in the room, when its language was chosen before “Start”.

What does not work

• A meeting in the Teams, Zoom or WhatsApp app, on the same phone: during a call, Android reserves the microphone for that app and protects its sound. The interpreter hears nothing. Open the meeting link in Rapporteur instead, or follow it on another device placed next to it.

The Android app must be up to date: the phone's sound from version 1.1.9 (Android 10 or later), the volume that goes up by itself from 1.1.10 (Android 12 or later), the voice in a meeting opened in Rapporteur from 1.1.11 (before that, the interpreter stays in subtitles there), “Others hear in” in that meeting from 1.1.12, and earphones, wired or Bluetooth, in the room from 1.1.13.

On iPhone: when do you hear the interpreter?

On iPhone, the interpreter's voice is heard out loud when the meeting takes place in the room, or on another device placed next to the iPhone — a computer or a second phone, with the speaker on — and when it is opened in Rapporteur.

• Place the iPhone near the people speaking, or next to the other device's loudspeaker.
• In Rapporteur, choose In the room — even if the meeting is held online on the other device.
• Choose your language under “You listen in”, then tap Interpreter: its voice comes out of the iPhone's loudspeaker.
• With AirPods or other earphones: the interpreter speaks in your ear, and the iPhone keeps listening to the room through its own microphone. Put them on or take them off along the way: the interpreter switches between them without stopping.
• With the recording of the minutes: tap Start before or after Interpreter, and both run together. With AirPods or earphones, its voice stays in your ears while the iPhone records the meeting; without earphones, it appears as subtitles for the length of the recording, so that its voice does not get into the minutes. When the recording stops, the interpreter keeps going. The minutes are not affected.
• Set the volume with the buttons on the side of the iPhone: Apple does not let any app raise it by itself.
• Duo mode, in the same case: two people who speak different languages hold a conversation, the iPhone placed between them, volume all the way up. Choose your language under “You listen in” and the other person's under “Duo mode: the other person speaks”; each person speaks in turn, and the interpreter translates for the other, out loud, as soon as the person has finished. With AirPods or other earphones, choose “each their own” or “one earbud each” (left for you, right for the other person) under the lists: it then translates at the same time, and only its voice plays in the earphones. Never during a recording: its voice would get into the minutes.

Its voice comes back when the recording stops. “Others hear in” keeps going: its voice goes into the meeting, not to the loudspeaker.

What the iPhone does not allow

• A video or YouTube on the same iPhone: the interpreter cannot hear it. Apple does not let any app capture the sound the iPhone plays; play the video on another device, placed next to it.
• A replay on the iPhone: the interpreter appears as subtitles, without a voice — through the loudspeaker, its voice would come back into the microphone listening to the replay.

The iPhone's screen stays on while the interpreter runs.

If something goes wrong

Your data, in three lines

• The audio of your meeting is deleted as soon as the transcript is obtained.
• We receive no copy of your meeting report: it goes to you, and to you alone.
• You can delete your account yourself, from My account. Only the accounting records the law requires us to keep remain, archived.

The privacy policy says all the rest, with no empty phrases.
