Record a meeting, receive the report
Rapporteur listens to your meeting and sends back a structured document: attendees, topics discussed, decisions, action items and owners. Nobody takes notes. This guide describes the whole gesture, then what you need to know device by device — browser, Windows, Mac, Android, iPhone.

In four moves
- Sign in — with no password: a six-digit code arrives in your inbox. Your first three meeting reports are free, every feature included.
- Say where the meeting is held — it is the only choice to make, and it decides what Rapporteur listens to.
- Give the address and the language, then tap Start. In the installed apps, the screen can then go dark and the network can drop.
- Stop. The meeting report arrives by email within minutes, however long the session was.
Your account, once and for all
Rapporteur creates no password. You enter your email address, a six-digit code arrives in your inbox, and you are signed in. The first sign-in of an address opens the account: there is no registration form. You can also sign in with Google.
And you stay signed in. On this device and in this browser, the session renews itself as long as you keep using Rapporteur: nothing to type again before each meeting. You will only need a new code in three cases — you change device, you change browser, or you sign out yourself.
One account for every device. Your balance, your document template and your purchases are shared: what you set up on the computer holds on the phone, and you move from one to the other without buying anything twice.
- A meeting of up to six hours costs one meeting report; beyond that, one more per slice started.
- Nothing is deducted if no report can be produced — a session with no speech, or a failure on our side.

Which device, for what
The five ways of using Rapporteur produce the same meeting report. What differs is how the sound is captured, and that is the only thing that should guide your choice.

In the installed app: three ways to record
Windows, Mac, Android, iPhone: the app first asks where the meeting is held. That choice, and only that, decides what it listens to.
- In the room. The meeting is held here: put the device in the middle of the table, the microphone picks up everyone.
- Online. Teams, Zoom, Meet, a phone call. On the computer, the app captures the machine's sound; on the phone, the meeting is held on another device on speaker — or, on Android, opens inside Rapporteur itself.
- Replay. You already have the audio of a past meeting: play it back with the speaker near the device, and it is written up like a live session.
In all three cases, you then give the address the document should go to and the language of the report — French or English, independently of the language of the app — then you tap Start.
The Windows app
The one that captures the whole computer, and keeps going when the network leaves. Free download, for everyone.
- Download Rapporteur-Setup.exe from the Windows page, open it, let the installation run.
- Sign in with your Rapporteur account — the same one as on the site.
- Choose In the room, Online or Replay, then record.
- It captures Teams, Zoom or Skype installed on the machine, and not just a tab: in Online mode you have nothing to share, it takes the machine's sound and your microphone.
- Meeting in person: put the computer in the middle of the table, the microphone is enough.
- Offline: after one first opening online, it records with no network. Meetings stay on the machine and leave by themselves when the connection returns.
- Starting a meeting requires a subscription — Basic included — or a pack; the three free reports work too.
On a Mac
The Mac app is coming: it will do what the Windows app does — the three modes, the Mac's sound and the microphone, working offline. As soon as it is published, the download will appear on the Mac page.
Meanwhile, Rapporteur already works on your Mac, in the browser: open the recording room with Chrome or Edge — not with Safari, which cannot capture the sound of a tab. For a meeting in person with no computer, the Android app records from the phone.
The Android app
A single button in the middle: tap it, put the phone near the voices, put it away. This is the tool for meetings in a room and for fieldwork.
- Tap Download on the Android page, or scan the QR code shown there from a computer.
- Open the Rapporteur.apk file. Android asks you to allow this source, then offers "Install anyway": that is the case for every file downloaded outside Google Play. The Google Play version, currently under review, will install without a question.
- Open the app and sign in. Do this first opening while connected to the network.
An online meeting: two ways
1. Two devices. The meeting is held on another device — a computer, a second phone — with the speaker on. Put the phone carrying Rapporteur next to it, choose Online, give the address and the language, then Start. The microphone picks up the other participants and your own voice.
2. The meeting inside Rapporteur. Only one phone at hand? Open the meeting in the app itself:
- Choose Online.
- Paste the link to the meeting (Meet, Teams, Zoom…) in the field provided, then tap "Open the meeting here".
- The meeting opens inside Rapporteur. Then give the address the report should go to, choose the language, and tap Start.
Why this works: inside one and the same app, the microphone serves the meeting and the recording at the same time. A meeting held in another app keeps the microphone for itself — hence the first method.
What the app can do that the browser cannot
- The screen can go dark: recording continues for the whole session.
- A dropped network stops nothing: meetings are kept on the phone, several in a row if needed, and leave by themselves when the connection returns.
- Android 8.0 or newer.
On an iPhone
The iPhone app is coming to the App Store. It will record by itself, without going through the browser: the screen will be able to go dark without interrupting the session, and meetings will be kept on the device when the network is missing. As soon as it is published, the download and the QR code will appear on the iPhone page. It will offer the same three modes — In the room, Online, Replay.
An online meeting, on an iPhone
Two devices, and that is the only reliable way: the meeting is held on a computer or a second phone, with the speaker on; the iPhone carrying Rapporteur sits next to it, in Online mode. The reason is in iOS itself: a meeting held in another app keeps the microphone for itself, the system enforces it. So the app does not offer to open the meeting inside itself, as the Android one does.
While waiting for the app: an Android phone, the Windows app, or the browser on a computer — a Mac included, in Chrome or Edge.
During the meeting
- The level meter moves as long as sound is coming in. That is the thing to look at if you have a doubt.
- If nothing is captured for two minutes, Rapporteur warns you — a sound, a message, and what you need to fix it without leaving the session. The alert comes back as long as the silence lasts: a meeting recorded into the void is the failure that costs the most.
- You can pause and resume: the report will see a single session.
- Put the device near the voices, not in front of a fan or against a wall. For a meeting on speaker, the device next to the speaker is enough.
After the meeting
You stop, the audio goes to our servers, and the meeting report arrives by email within minutes — the length of the session changes that delay very little. The document goes to the address you gave, and nowhere else.
- If the network was missing when it was time to send, the meeting waits on the device and leaves by itself when the connection returns. There is nothing to redo.
- If your balance is empty when it is time to send, the meeting is kept: you top up, then start the upload again. We write to tell you.
- If nothing was captured, or if the processing fails, you are told by email and nothing is deducted.
Making the document look like yours
This is the setting that improves the quality of the reports the most, and it costs nothing. On the Personalisation page, you can:
- Upload an old set of minutes, or describe your habits in plain words: the assistant turns them into rules, and every document that follows obeys them.
- Give your vocabulary — acronyms, proper names, in-house titles — so they are spelled correctly instead of being guessed.
The setting holds for every platform: made once on the site, it applies to meetings recorded from the phone as well as from the computer.

Your data, in three lines
- The audio of your meeting is deleted as soon as the transcript is obtained.
- We receive no copy of your meeting report: it goes to you, and to you alone.
- You can delete your account yourself, from My account. Only the accounting records the law requires us to keep remain, archived.
The privacy policy says all the rest, with no empty phrases.
