From the meeting room to the signed document

Here is exactly what happens, from clicking “Start” to receiving the document. Nothing to do during the session.

Step 1

Start, in Chrome or Edge

Open the recording page in Chrome or Edge on your computer and click Start. The browser asks you for the meeting tab — check “Also share tab audio” — then for microphone access: allow it. Those two permissions, and nothing else.

Step 2

Hold your meeting

Go back to your meeting window and run it as usual — the Rapporteur page simply stays open. The timer and the two level meters show you that voices are being captured, yours and your participants' alike. You can switch tabs: nothing gets interrupted.

Step 3

Stop, then close

When the meeting ends, come back to the page and click Stop. Wait while the audio uploads — once the bar is full, you can close the window and shut down your computer: the Word minutes arrive in your inbox, usually within two hours.

Every institution has its own layout. Upload yours once — or simply describe it in plain words. The assistant turns it into rules, and all your future minutes will follow them.

Set up my layout

  • Your minutes template Upload past minutes in Word or PDF format. The assistant notes the order of your sections, their headings, the way your action items are presented, then reproduces that structure.
  • Your logos One logo in the header, another in the footer, your partners' side by side: you say where they go, and they are placed on every page of the document.
  • Your writing habits Spell it out: “our action items always start with a verb,” “the attendance table goes in the annex,” “keep the register formal.” The assistant turns them into rules, applied to every meeting.
  • Nothing to provide? Nothing to do. Without a template from you, the document comes out in our institutional layout: title, header table, numbered agenda, running summary, and an action table. It has been proven on real meetings.

What you receive

Minutes you can circulate without proofreading them three times

The document is structured like institutional minutes, not like a transcript split into paragraphs.

Header Day and date, location — always “Videoconference” —, chair, attendance. Fields that were not stated in session read “not specified” rather than a guess.
Agenda Taken as announced at the opening. If it was not announced, it is reconstructed from the topics actually discussed, in their order of appearance.
Summary of discussions Written in running prose, one section per agenda item. Short sentences, institutional register, no administrative padding.
Key issues The difficulties actually reported in session, with no added commentary.
Action items A numbered table: action, owner, due date. Every action starts with a verb. The owner is the person the request was addressed to — never an attribution by likelihood.
Annexes The attendance list from the platform's report, then the full time-stamped transcript, to settle any dispute over what was said.
